1. Who We Are

FieldOS (getfieldos.app), provided by Number Studios, LLC ("Company," "we," "us," or "our"), provides a workflow operating system for solo and small-fleet trade businesses. This Privacy Policy explains how we collect, use, and protect your information when you use our website at getfieldos.app and our platform services.

Questions? Contact us at hello@getfieldos.app.

2. Information We Collect

Information you provide directly

  • Account registration: name, email, phone number, and business details.
  • Job and customer data: customer names, addresses, contact details, job notes, photos, and service records you enter while using FieldOS.
  • Payment information: billing details processed by your connected payment provider. We never store raw card numbers.

Information collected automatically

  • IP address, browser type, and device information.
  • Pages visited, features used, and time spent in the application.
  • Location data (when you grant permission) used for route optimization.

3. How We Use Your Information

  • Provide, operate, and improve the FieldOS platform.
  • Send appointment reminders, invoices, and job updates to your customers on your behalf.
  • Process payments and prevent fraud.
  • Communicate with you about your account, product updates, and support requests.
  • Calculate route optimizations using location and job data.
  • Comply with legal obligations.
  • Protect the security of the Service and your customers, including automated checks of files you upload and review by authorized staff of files those checks flag.

We do not sell your personal information or your customers' data to third parties.

We will not share or sell your mobile information or opt-out status with any third party for purposes unrelated to providing you with the services of that campaign. We may share your Personal Data, including your SMS consent or opt-out status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages.

3a. SMS Communications and Opt-Out

FieldOS uses SMS messaging to send appointment confirmations, appointment reminders, estimates, job sheets, invoices, payment receipts, job summaries, and other transactional messages on behalf of operators to their customers ("end users").

Operators (FieldOS customers) opt in to receive SMS from us when they enter a phone number in their account settings. Messages may be for confirmation of payments, estimate approval, appointment confirmation, and other transactional messages based on actions taken by their customers ("end users"). Message frequency may vary. Standard message and data rates may apply. They may reply STOP to opt out. They may reply HELP for help.

End users (an operator's customers). Before adding you to FieldOS, the operator you engaged with obtains your verbal consent to receive SMS messages regarding your service, along the lines of: “By providing your phone number, you agree to receive SMS updates regarding your service from [Business Name]. Message frequency may vary. Standard message and data rates may apply. Reply STOP to opt out. Reply HELP for help. We will not share your mobile information with third parties for promotional or marketing purposes.” When the operator adds your phone number to their customer list, you will receive a single one-time SMS confirming that consent, for example: “FieldOS: You have agreed to receive SMS updates from [Business Name]. Msg freq may vary. Std msg & data rates apply. Reply STOP to opt out, HELP for help.”

From that point, end users will receive SMS appointment confirmations, appointment reminders, estimates, job sheets, invoices, payment receipts, job summaries, and related transactional messages from FieldOS on behalf of the businesses (Operators) you engaged with. Message frequency may vary. Standard message and data rates may apply. You may reply STOP at any time to opt out of further SMS messages from that operator — no further messages will be sent to you from that operator through the platform once you do. You may reply START at any time to opt back in and resume receiving messages from that operator. Reply HELP for help. We will not sell or share mobile information with third parties for promotional or marketing purposes.

4. Third-Party Services

FieldOS uses the following third-party providers to deliver its services. Each has its own privacy policy.

PingramSMS messaging
MailgunTransactional email
Google Maps PlatformRoute optimization and mapping
Google CalendarOptional calendar sync for scheduling and availability (see Section 4a)
Intuit QuickBooks OnlineOptional accounting sync of paid invoices, customers and payments (see Section 4b)

4a. Google Calendar Integration

Connecting Google Calendar is optional. If you connect your Google account, FieldOS uses access to your Google Calendar to put your scheduled FieldOS visits on a calendar you own, to bring changes you make to those visits in Google Calendar back into FieldOS, and to show the times you're already busy when you schedule work.

Data we access

  • Your list of calendars (names and whether you own them), so you can choose which calendar FieldOS syncs to.
  • Events on the calendar you sync to. FieldOS reads them to see when one of its own visit events was moved or deleted, and to work out when you're busy. From your other events it uses only their start and end times, whether they're marked busy or free, and whether you declined them. Google returns their titles and other details along with them, but FieldOS doesn't store, display, log or otherwise use those.
  • Busy times on your other calendars you own, through Google's free/busy service, which returns only busy time blocks, not event details.
  • Events FieldOS creates. FieldOS creates, updates and deletes only the events it made for your scheduled visits. They contain the job number and title, the job address, the customer's name, the crew and visit notes.

We do not access your contacts, email or any other Google data.

How we use it

We use Google Calendar data only to provide features you use in FieldOS: keeping your visits in sync with your calendar, showing your availability, and preventing double-booking. We do not use Google user data for advertising, do not sell it, and do not use it to build profiles unrelated to these features.

If you connect an AI assistant to FieldOS (for example through FieldOS's MCP server), the open time slots it can look up already take your calendar's busy times into account, as they do in FieldOS itself. The assistant never receives your calendar, your events or their details.

Sharing

We do not share, sell or transfer Google user data to third parties, except: (a) service providers, such as our cloud hosting provider (DigitalOcean), that process it on our behalf solely to operate these features; (b) when required by law; or (c) as part of a merger or acquisition, with notice to you. FieldOS staff do not look at your calendar data unless you ask us to for support, it's needed for security, or the law requires it.

AI and machine learning

We do not use Google user data, including data obtained through Google Workspace APIs, to develop, improve or train generalized or non-personalized artificial intelligence or machine learning models.

What we store, and protection

We store the access tokens Google gives us, encrypted in our application as well as on disk, and, for each visit on your calendar, the Google event's ID, version and last-changed time. Your busy times are kept for at most 5 minutes and your list of calendars for at most 10 minutes, so pages load quickly. We don't keep copies of your calendar or your events. All Google data is encrypted in transit (TLS) and at rest, and access is limited to the systems that run calendar sync.

Retention and deletion

  • Disconnecting Google Calendar in FieldOS Settings revokes our access at Google and deletes the stored tokens immediately. The event IDs are deleted within 30 days; we keep them that long so that if you reconnect, FieldOS updates the events it already made instead of adding copies.
  • If you revoke access in your Google account (at myaccount.google.com/permissions), FieldOS deletes the stored tokens the next time it tries to use them, and the event IDs within 30 days, as above.
  • Closing your FieldOS account revokes our access and deletes the tokens and event IDs immediately.
  • Events FieldOS added to your calendar stay there unless you delete them.
  • You can also ask us to delete your data by emailing hello@getfieldos.app.

Limited Use

FieldOS's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4b. QuickBooks Online Integration

Connecting QuickBooks Online is optional. If you connect it, FieldOS sends your paid invoices, the customers on them and their payments to your QuickBooks company, and reads the minimum it needs from it: your company name, your income and bank accounts (so you can choose where income and payments go), and existing customers, products and payment methods with matching names or emails, so nothing is duplicated. To avoid overwriting your bookkeeper's changes, FieldOS also reads the version, total and balance of invoices it sent.

We store the access tokens Intuit gives us, encrypted, your company's name, the accounts you chose, and the QuickBooks IDs, versions and totals of records FieldOS sent, with QuickBooks' message when one couldn't be sent. We don't copy anything else from QuickBooks. We do not sell QuickBooks data, use it for advertising, or share it with anyone except service providers that host FieldOS on our behalf or when the law requires it.

Disconnecting QuickBooks in FieldOS Settings revokes our access at Intuit and deletes the tokens immediately; the QuickBooks IDs are kept so that reconnecting the same company doesn't send anything twice. Closing your FieldOS account revokes our access and deletes the tokens immediately. Records already in QuickBooks stay there: they're your books.

5. Data Retention

We retain your account data for as long as your account is active. If you close your account, we delete or anonymize your personal data within 90 days, except where we are required by law to retain it longer (e.g., financial records).

Data from Google Calendar and QuickBooks Online follows its own, shorter rules, set out in Sections 4a and 4b.

Files that fail a security check are kept for up to 60 days, or longer when needed to investigate abuse or when the law requires it.

6. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data.
  • Opt out of marketing communications at any time.

To exercise any of these rights, email hello@getfieldos.app.

7. Security

We use industry-standard security practices including encrypted data in transit (TLS), encrypted data at rest, and access controls. No method of transmission over the internet is 100% secure. We will notify you promptly if we become aware of a breach affecting your data.

8. Cookies

We use session cookies required for authentication and security. We do not use advertising cookies or sell cookie data. You can disable cookies in your browser settings, but some features may not work correctly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. Continued use of FieldOS after changes take effect constitutes acceptance of the updated policy.
